This page explains what personal information Phileos collects, why, and what you can ask us to do with it. It also explains the cookies our website uses.
Who we are
Phileos Services Ltd, registered in England and Wales, company number 12127125. We decide how your personal information is used, so we are the “controller” under UK data protection law.
Contact us about anything on this page at [email protected] or on 01865 597765.
What we collect
- When you ask for a quote or book: your name, phone number, email address, the address of the property or site, and the details of the job.
- When you call, email or message us on WhatsApp: what you tell us, and your contact details.
- When we do the work: access instructions such as key or door codes, and photographs or short videos of the property taken before and after a clean, as a record of the work.
- When you pay: payments are taken by Revolut on its own secure pages. We do not see or store your full card details; we receive confirmation of the payment.
- When you use our website: only if you choose “Accept analytics”, information about how you use the site (see Cookies below).
Why we use it, and our lawful basis
- To quote for, arrange, carry out and invoice the work you ask for. This is necessary to take steps before a contract and to perform it.
- To keep business and tax records. This is a legal obligation.
- To keep a record of the work, handle complaints and improve our service. This is in our legitimate interests, and we keep it proportionate.
- To understand how visitors use our website. Only with your consent, which you can withdraw at any time.
We do not sell your information, and we do not use it for advertising.
Who we share it with
Only the service providers we use to run the business, and only what they need: our form provider (Tally), payments (Revolut), email (Google Workspace), messaging (WhatsApp), our scheduling and accounting software, our website host and, if you accept analytics, Google Analytics. Our team members see the job details they need to do the work. We may also share information where the law requires it.
Some of these providers may process information outside the UK. Where that happens, we rely on the safeguards UK law allows for international transfers.
How long we keep it
We keep personal information only for as long as we need it for the purposes above. Business and tax records are kept for as long as the law requires. Property photographs and videos are kept for as long as they are needed as a record of the work or to deal with a complaint.
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, restrict how we use it, or stop using it. Where we rely on your consent, you can withdraw it at any time. Write to [email protected]. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
Our website only uses analytics cookies if you choose “Accept analytics” in the banner. If you choose “Reject”, or make no choice, they are not set.
- _ga and _ga_<ID>, set by Google Analytics, to count visits and understand how the site is used. Default expiry: 2 years.
- phx_consent, stored in your browser, to remember your choice so we do not ask again on every page.
Our booking form is provided by Tally and payments by Revolut, and they may set their own cookies when you use them. Their own privacy notices apply.
You can change your choice at any time:
